Authorizations page


The authorizations page shows the three ways to collect your customers' authorizations using Rotessa.

Email authorization(s)

Using Rotessa, you can send your customers a private link to your authorization form. This method is best for customers already added into your Rotessa account without an authorization or banking information.

  1. In your Rotessa account’s authorizations page, select send email authorizations. This will take you to a page where you can search and select as many customers as you want.
  2. Select the customer(s) you wish to send an email authorization, and select continue.
  3. You will then see a preview of the email that will be sent to your customer. You can edit this before sending the email.
  4. After you are happy with the email message, select send email.

You can edit the default email message so you don't have to edit the message each time.

  1. In your Rotessa account’s authorizations page, select edit and preview from beside send email authorizations.
  2. Scroll down to where it says email and make your changes.
  3. After you are happy with the email message, select save at the bottom of the page.

Custom link URL

The custom link URL is a live version of your Rotessa-generated online PAD agreement that you can send to your customers. You can send this link URL in an email, embed it on your website, or place it in your payments workflow.

Note – By default, Microdeposits are on for this authorization method. 

  1. In your Rotessa account’s authorizations page, find where it says share a public link to your authorization form and click copy
  2. Paste the link in an email to your customer(s) or embed the link on your company website.

You can edit the URL with custom text to make it more recognizable to your customers. (Custom links can only include letters and numbers and must be between 5 and 20 characters.)

  1. In your Rotessa account’s authorizations page, select edit and preview from beside the custom link.
  2. Scroll down to where it says link URL and make your changes.
  3. After you are happy with the customizations, select save at the bottom of the page.

Printed authorization(s)

If you wish to print out authorization forms for your customers to sign, select create PDF authorization. This will bring you to our online authorization form generator.

  1. Edit the required business information in the form generator.
  2. Enter your email address at the bottom of the page and select get my PDF. You will be sent an email with your authorization form as an attachment.
  3. Print out the authorization form for your customers to fill out.

Authorization settings

The authorization settings page in Rotessa allows you to personalize authorizations, creating a simple and on-brand experience for your customers. To get to the authorization settings page, select edit and preview anywhere on the authorizations page.

The preview on the left of the authorization settings page displays what your customers will see when they select one of the links to your authorization form.

Logo

You can upload your logo to your authorization forms so your customers know that the form is coming from your business.

Contact information

Payments Canada requires that your contact information is displayed on the authorization. To update your business contact information, select contact information to open the drop-down menu. The available fields are business address, email address, and/or phone number. Once you are done, make sure to select save at the bottom of the page to save your changes.

Introduction page

The introduction page is an optional page you can use to provide further instructions for your customer on how to complete the authorization form. This page can be edited with custom text up to a maximum of 300 characters.

Terms and conditions.

The terms and conditions of your authorizations can be edited here. Please refer to the Rule H1 on Payments Canada website for all legal information about PADs.

We recommend adding a clause about recouping the cost for any decline fee from your customer.

Language

Rotessa offers two default authorization languages of either English or French. To update your default authorization language, select language to open the drop down. Once you are done, make sure to select save at the bottom of the page to save your changes.

Fields

Default name field(s) determines the type of customers you are collecting from. By default, Rotessa is set to personal but if you are primarily collecting from other businesses, then change this to business. The changes made here can be seen on the second page of your authorization preview. (It will show on the first page if you have turned off the intro page.)

Rotessa doesn't use your customers' phone numbers or customer addresses. These fields are for your personal use. If you want to collect phone numbers or addresses, you can turn on these options and your authorization requests will include these fields.

Instant Bank Verification

Instant bank verification will have the customer verify their bank information and identity through online banking. If they are unable to complete this step, they will be redirected to a microdeposit.

You can require microdeposits for email authorization requests. With it turned off, microdeposits will not be enabled on email authorization requests.

Email

The default email message is what your customer will receive when sending an email authorization request. We have created a generic email template, but you are able to edit it as needed.

Link URL

You can edit the default link URL to something more recognizable to your customers. Only the section after https://app.rotessa.com/authorize/ can be edited.
