Import invoices from Xero
In Rotessa, there are a few ways transactions can be scheduled:
- Manually
- Bulk importing transactions from a CSV file
- Importing invoices through software integrations like QuickBooks Online, Xero, or Zapier.
Rotessa customers that are connected to Xero can have invoices brought in from Xero. The process of importing invoices from Xero into Rotessa can be done manually or, they can be imported automatically with automatic invoice import.
Importing Xero invoices into Rotessa manually
Start on the customer tab in your Rotessa account and select new.
Select new transaction.
Then select integration.
- Choose the invoices you’d like to import. Rotessa will pull in any outstanding invoices that are in your Xero account. Any invoices with a due date before the present day will be processed the next possible day.

Troubleshooting imported invoices
Invoices scheduled in Rotessa will not automatically update to match any changes to the invoice made in Xero, unless automatic invoice import is enabled. If any changes need to be made, delete the transaction and re-import the invoice from Xero.
An invoice will not be available for import if the customer is not properly connected from Xero in Rotessa. If you are not seeing your Xero invoices in Rotessa or getting the customer not connected error, edit the customer's custom identifier in Rotessa to match the customer name of the customer in Xero.
Rotessa can not import any invoice that is already marked as paid or re-import any invoice that has already been imported or previously processed by Rotessa. If you have an invoice that was processed and declined, you will either need to manually create a new one-time transaction in Rotessa or import a new invoice from Xero.
*Note - A transaction created in advance of the process date will have a status of future. A transaction can only be edited or deleted before the transaction has the status of Sent to Bank.
