Import invoices from QuickBooks Online

In Rotessa, there are a few ways to schedule transactions:

QuickBooks Online Customers connected to QuickBooks Online can have invoices imported directly into Rotessa. This can be done manually or automatically when automatic invoice import is enabled on the customer's profile.


Manually Importing a QuickBooks Online Invoice

    1. Go to the Customers page of your Rotessa account and select New.
    2. Select New Transaction.
    3. Select Integration.
    4. Rotessa will display any outstanding invoices from your QuickBooks Online account with a due date on or after the Invoices From date shown. Select the invoice(s) you'd like to import.
    5. Select Create New Transactions to import the selected invoices into Rotessa.

    Note: Any invoices imported with a due date before the present day will be processed on the next possible processing date.


    Troubleshooting imported invoices

    Invoices scheduled in Rotessa will not automatically update if changes are made to the invoice in QuickBooks Online, unless automatic invoice import is enabled. If changes are needed, delete the transaction in Rotessa and re-import the invoice from QuickBooks Online.

    An invoice will not be available for import if the customer is not properly connected from QuickBooks Online in Rotessa. If you're not seeing your QuickBooks Online invoices or are getting a "customer not connected" error, edit the customer's Custom Identifier in Rotessa to match the customer name in QuickBooks Online.

    Rotessa cannot import invoices that are already marked as paid, or re-import invoices that have already been imported or previously processed. If an invoice was processed and declined, you'll need to either manually create a new one-time transaction in Rotessa or import a new invoice from QuickBooks Online.

    Note: A transaction created in advance of the processing date will have a status of Future. Transactions can only be edited or deleted before the status changes to Sent to Bank.
