Integrate with QuickBooks Online
Integrating Rotessa with your QuickBooks Online account allows you to import your customers and invoices from QuickBooks Online into your Rotessa account.
Linking QuickBooks Online Account
- Start on the integrations tab in your Rotessa account.

Select QuickBooks Online and then select connect to QuickBooks Online at the bottom of the page.
- Log into your QuickBooks Online account and allow access.

Select a clearing account for invoices processed in Rotessa to automatically reconcile in QuickBooks Online. This can be changed later from the integrations page.
Valid account types include: dank and current assets
Valid detail types include: cash on hand, inventory, other current assets, prepaid expenses, and undeposited funds
Your invoices from QuickBooks Online can only be imported into Rotessa after you connect your customers from QuickBooks Online. The custom identifier of a customer in Rotessa must match the customer display name in QuickBooks Online.
If you change the customer display name of a customer in QuickBooks Online, you will need to edit the customer's custom identifier in Rotessa to match the updated customer display name.
The process of importing invoices from QuickBooks Online into Rotessa can be done manually or they can be imported automatically if you enable automatic invoice import.
If any changes are made in QuickBooks Online to any invoices imported to Rotessa, it will not automatically update, even with automatic invoice import enabled. To update the invoice in Rotessa, delete the transaction and re-import it from QuickBooks Online.
Troubleshooting QuickBooks Online integration
If you are having trouble sending the approved payment from Rotessa to QuickBooks Online there are a few things you can do to troubleshoot before reaching out to support@rotessa.com.
Reconnect your account
- Start on the integrations tab in your Rotessa account.

Go to the bottom of the page and select disconnect from QuickBooks Online.
- Select yes on the confirmation window.
- Connect to QuickBooks Online again.
Check transactions
For a settlement payment to be applied in QuickBooks Online, the transaction must be initially created through the integration. If the transaction was created manually in Rotessa it will not have an invoice in QuickBooks Online to connect to.
Look at the transactions in the settlement report to see if they were created through the integration. In the comment field, there will be an auto-generated comment with the invoice number if it was created through the integration.
Check clearing account
If your invoices aren't being marked as paid in QuickBooks Online after they have been processed in Rotessa, check to see if your clearing account is properly set on the integrations tab. To change it, select change.
